Workday applications: what each step wants, and why it takes so long

Workday is behind 19,450 of the live jobs we track, and it is the longest application form in common use. It asks you to create an account, then re-enter a resume it has already read. Here is what each step actually needs.

In short

Every employer runs its own Workday site, so an account at one company does not exist at the next. Upload your resume at the first step so the long ones are pre-filled, and expect 20 to 40 minutes for your first application at any given employer — then a few minutes for every one after that.

1

Why it is this long

Workday is sold to the employer as a system of record, not to you as an application form. It wants your history in structured rows it can search later — which is why it reads your resume and then asks you to confirm every line of it. Of the live jobs we track in India, 8% were on Workday on 23 October 2026: enough that avoiding it is not an option.

The account is the part people find strangest. It is per employer, because each company's Workday is a separate site with its own candidate database. There is no central Workday login that works across companies.

The university list, and what to do when yours is missing

"School or University" is among the most common questions we see anywhere, and on Workday it is almost always a fixed list rather than a text box. Many of those lists are built around one country, so Indian institutions are frequently absent, and searching returns something that merely looks similar.

  1. Search the distinctive word, not the whole name"Visvesvaraya", not "Visvesvaraya Technological University, Belgaum". Long strings with commas usually match nothing.
  2. If it is genuinely not there, choose the "Other" entryLists carry one: Other, Other – India, Not listed, School Not Listed. That is what it is for.
  3. Never pick a similar-sounding institutionChoosing IIT Delhi because you attended Delhi Technological University is a false claim on a hiring record. The "Other" bucket is the honest answer.
  4. Put the real name on your resumeThe resume is attached to the same application, so the full name reaches the recruiter even when the dropdown cannot hold it.
4

How to finish one faster

  1. Upload the resume before touching anything elseIt pre-fills My Information and most of My Experience. Starting by typing wastes the parse.
  2. Keep one answer sheetNotice period, expected salary, current salary, earliest start date, passport status. The same handful, asked every time.
  3. Apply to several roles at one employer in one sittingThe candidate profile persists, so the second application at the same company is minutes rather than half an hour.
  4. Keep the passwordYou will be back. A password manager turns the account step from a wall into a click.
5

If you get stuck

  1. "The field X is required" with nothing markedErrors collect at the top of the page, not next to the field. Scroll up and read the list.
  2. A date it will not acceptWorkday wants the format its own picker produces. Use the calendar icon rather than typing.
  3. A dropdown that shows nothingSeveral load only after you type. Two or three letters of the distinctive word, then wait.
  4. It forgot everythingThese sessions expire quickly. Submit a step at a time rather than leaving the tab open.

Or skip the form entirely

Jobaaj One completes Workday applications for you — account, education rows, the repeated questions and the "Other" fallback when your university is not listed — and comes back to you only for something it has never been told.

Questions

Why does Workday make me create an account for every company?

Each employer runs its own Workday site, so an account on one does not exist on another. The password and candidate profile live with that employer, which is why you are asked again at the next company.

How long does a Workday application take?

Twenty to forty minutes for a first application at a given employer, most of it spent on the education and work history steps. A second application to the same employer is much faster, because your candidate profile is already there.

Why can I not find my university in the Workday list?

The list is the employer's own, and many are built around one country. When your institution is not in it, pick the "Other" or "not listed" entry rather than the closest-looking name, and put the real name on your resume.

Can I apply on Workday without a resume?

Usually yes, but the form will then ask you to type your work and education history by hand. Uploading a resume first lets it pre-fill most of those fields.

Does Workday reject applications automatically?

Workday itself does not score you. It stores what you submit and gives recruiters filters, so a required field left blank or a filter you fail is what removes you, not an algorithm making a judgement.
